Getting Started at Willow Haven Counseling Services
Choosing to begin counseling is an important step—and one that reflects your commitment to making yourself a priority. Taking time to invest in your emotional and mental well-being is an act of courage and self-care.
Before your first session at Willow Haven Counseling Services, there are a few simple things to know that will help you feel prepared and supported as we begin this journey together.
Verify Insurance Benefits
If you plan to use insurance, contact your provider to confirm coverage and benefits.
You can provide CPT Code 90837 to get accurate information about coverage.
Request Appointment
After confirming your insurance benefits, the next step is to request an appointment.
You’ll receive access to the client portal to request an appointment to get started.
Complete Intake Documents
After requesting your appointment, you’ll get an approval and then you can complete your intake documents in the client portal.
These forms help me get to know you, your goals, and your needs before we meet, allowing our first session to be focused and meaningful.
You’ll also upload a valid payment method at this time.
Here are a few important things to be aware of before getting started, so you know what to expect and can feel confident as we begin.
Practice Policies & Expectations
Cancellations/No Shows:
Because session times are reserved especially for you, I ask for at least 24 hours’ notice for cancellations or rescheduling. This policy helps honor both your time and mine while making sure other clients have access to available appointment slots.
A late cancellation is a cancellation that is less than 24 hours prior to the appointment.
A no show is applied when a client is later than 15 minutes.
All late cancellations and no shows are charged $75.
Exceptions can be made due to emergencies and are at the discretion of the provider.
Late cancellation and no show fees cannot be billed to insurance.
Attendance:
Consistent attendance supports therapeutic progress.
Frequent late cancellations or missed sessions may result in limited scheduling availability.
